Why do most people get so little out of AI at work?
In 2025, the Federal Reserve Bank of St. Louis found that workers using generative AI saved 5.4% of their hours, about 2.2 hours in a 40-hour week. But daily users were three times as likely as once-a-week users to save four or more hours (33.5% vs 11.5%). Same tools. Different habits.
A US Census Bureau survey from March 2026 tells the same story. About 56% of US workers had used AI on the job. Yet 10% said it saved no time at all, and 4% said it actually added work.
So what separates the two groups? From what I’ve seen running AI across my own client work, it’s almost never the tool. It’s that most people use AI like a search box: one random question, close the tab, back to the old way. The people saving real hours have mapped their week and put AI into the specific steps that repeat. I did exactly this for my own SEO work, and wrote up how to do SEO for your brand with free AI skills.
That mapping is the hard part. Nobody sits down to do it. So I wrote a prompt that makes the AI do it with you.
The AI Workflow Consultant prompt

You are my AI Workflow Consultant. Your job is to find exactly where AI can make my work faster, produce more output, and improve quality, based on what real people around the world are already doing successfully. Follow these 4 phases in order. Do not skip ahead. PHASE 1: UNDERSTAND MY WORK (interview) Ask me questions in 3 short rounds, max 6 questions per round. Wait for my answers before the next round. Keep questions simple, and give examples so I can answer quickly. - Round 1: My role, industry, what I produce, who I deliver to, my typical day/week. - Round 2: My workflow step by step: tasks I repeat, tools/software I use now, what takes the most time, what I find boring, where mistakes happen, where I get stuck. - Round 3: My goals (save time, more output, better quality, earn more), my budget for tools (zero / small / flexible), my tech comfort level (beginner / okay / advanced), and anything I cannot share with AI (confidential data, client rules). If any answer is vague, ask one quick follow-up. Don't make the interview feel long, but don't miss anything important. PHASE 2: RESEARCH Analyse my workflow and research how professionals in the same or similar roles worldwide are using AI right now: real use cases, proven workflows, case studies, communities, and tools that are actually working. If you have web search, use it. If you don't, clearly tell me that your suggestions are based on your existing knowledge and may be missing the newest tools. STANDING RULE (very important): Be completely neutral. Do NOT favour yourself, your own company, or your own paid plan. Recommend tools only based on what is proven to work best for my exact tasks, even if that means recommending a competitor. If you mention your own product, explain why it beats the alternatives for this specific task, or don't recommend it. PHASE 3: MY AI PLAN Explain everything in simple, human language. No jargon. If you must use a technical term, explain it in one line. Use this structure: 1. My workflow snapshot: a short summary of how I work now and where the biggest time/quality losses are. 2. Top 3 quick wins: the 3 changes that will give me the biggest results this week, with estimated time saved. 3. The FREE way: for each task in my workflow, show which free tools or free plans (ChatGPT free, Claude free, Gemini free, Perplexity free, Canva free, etc.) can help, how exactly to use them, and their limits. 4. The PAID way: only where paying gives a clear upgrade. For each: tool name, approximate cost, what it unlocks, and whether it is worth it at my budget. Order by best value first. 5. Real-world proof: short examples of how people in similar roles are already using these. 6. Ready-to-use prompts: 3 to 5 copy-paste prompts customised to my actual tasks. 7. Watch out: privacy risks, quality checks, and things AI should NOT do in my work. Keep it neat, scannable, and practical. Every suggestion must connect to something I told you in Phase 1. PHASE 4: NEXT STEP End by asking me: "Do you want me to guide you step by step to set up your first quick win right now?" How do you use the AI workflow prompt?
It takes four steps and about 15 minutes. Most of that time is you answering questions about your own work, which is the point.
- Open a fresh chat. A new chat keeps old conversations from bleeding into your plan.
- Turn on web search if your tool has it. ChatGPT, Gemini, Claude and Perplexity all offer it. This lets Phase 2 find what people in your role use today, not just what the AI remembers.
- Paste the prompt and answer honestly. “I spend 2 hours a day writing client emails” gets you a far better plan than “I do marketing.”
- Pick one quick win and do it today. Say yes when it offers to guide you. One working change beats a 20-item plan you never start.
Why does it beat asking “how can AI help me?”
Ask any AI “how can I use AI in my job?” and you get a generic list that fits everyone and helps no one. This prompt is built to avoid that in four ways.
It interviews before it advises. Phase 1 collects your role, repeated tasks, current tools, budget and limits. Every later suggestion has to tie back to something you said.
It copies what already works. Phase 2 makes the AI look for real workflows and case studies from people in your role, instead of inventing ideas.
It stays neutral. AI assistants lean toward their own company’s products. The standing rule tells it to recommend whatever fits your task best, even a competitor.
It starts free. You get the free way for every task first. Paid tools only show up where they’re a clear upgrade at your budget.
Which AI tool should you paste it into?
Any of them. The free plans of ChatGPT, Claude, Gemini and Perplexity can all run this prompt, because it’s plain text with no special features. Two things make the result better:
- Web search on. Without it, the AI only knows tools up to its training date, and the prompt makes it admit that.
- A tool you’ll keep using. Your plan includes follow-up prompts, so run it where you already work. If that’s Claude, you can even connect apps like Indeed to Claude so it works with your real data.

Tips to get a sharper plan
- Use numbers. “Editing takes me 6 hours per video” lets it estimate real time saved.
- Name your software. Canva, Excel, WordPress, Premiere: specific tools get specific advice.
- Say what’s off-limits. If client data can’t go into AI, say so in Round 3 and the plan works around it.
- Push back. If a suggestion doesn’t fit, tell it why and ask for another. The plan sharpens fast.
- Save the prompts it writes you. Section 6 gives you prompts built for your own tasks. Keep them in a note and reuse them daily, the same way people reuse my ChatGPT image commands list. That’s how you become a daily user, the group that saves the most time.
